Casting contracts: templates, PDFs and signed versions
Keep the contract with the application, from the first draft to the signed copy. A practical workflow for agency teams.
Read the article ↗A useful casting interview starts with a clear invitation and ends with concrete notes and a next step. Here is a practical approach.
Allow enough time to discuss relevant experience, availability and the requirements of the role. Leave a few minutes between appointments to finish notes or absorb a delay. If the interview includes a language conversation or a short presentation, include it in the duration. The calendar should identify the applicant, casting call, agency, date, time and meeting type.
Explain who will conduct the interview, what role it concerns, how long it will take and what to prepare. An in-person meeting needs an address and arrival instructions. An online meeting needs a personal link. If the appointment changes, use the new invitation and latest link; do not forward one applicant’s personal link to another.
Ask the applicant to join a few minutes early from a quiet place and check their camera, microphone and connection. A phone can work well if it is placed steadily. In CastVent, both participants choose Open room and review the information before entry. The agency admits the applicant from the waiting room.
Use a consistent set of role-related topics. Record concrete observations and distinguish verified information from points still to confirm. Avoid personal comments unrelated to the work. Interview notes in CastVent save automatically to the application and remain private to the agency; check the saving indicator before leaving.
Explain the purpose, access and retention before asking for recording permission. The applicant must be able to refuse without harming their application and can participate without recording. When authorised, CastVent records the applicant’s video and both voices, never the interviewer’s video. The recording can be stopped during the call and uses agency storage. No automatic expiry does not mean indefinite retention is justified.
Explain whether you need more materials, client feedback or another communication. Do not promise confirmation while selection remains open. Complete the notes and communicate the actual decision. Ending the interview closes the room for the applicant too and displays a thank-you message. The appointment and authorised recording stay connected to the application.
