Casting contracts: templates, PDFs and signed versions
Keep the contract with the application, from the first draft to the signed copy. A practical workflow for agency teams.
Read the article ↗A clear brief, consistent applications and a structured selection process help an agency move from an announcement to a team ready to work.
Set out the client, location, dates, working hours and responsibilities. Separate the open roles and specify how many people each needs. Explain relevant requirements, language needs and any materials to provide. A precise announcement reduces repeated questions and applications based on incomplete information.
Messages, email attachments and spreadsheets become difficult to reconcile. A shared casting link takes applicants to the same brief and form. In CastVent, the casting has a recognisable code, can be public or shared privately, and can be closed when applications are no longer accepted.
Collect the initial details, photos, CV and relevant presentation material. Request further documents progressively instead of asking every applicant for everything at once. Where needed, request a video in a language they have declared. Make the agency’s privacy information accessible before submission.
Cards give a quick overview; a table helps compare selected fields. Use statuses to reflect your actual process, such as received, additional materials requested or proposed to the client. Keep role-related notes and make human selection decisions. An internal status change and a message to the applicant are separate actions.
Check the recipient and wording before sending a confirmation, request or thank-you message. Avoid leaving applicants to infer an outcome from silence. Once selected, keep the contract and practical arrangements linked to the same application.
Selection is only part of the job. Assign the person to the correct dates, times, locations and role, then confirm the assignment. A connected workflow makes it easier for the agency to see what remains to do before the event.
